MeetOS is a live AI translation service accessible through its website, Windows application and Chrome extension. When you use it, information may include your account details, audio you intentionally capture, original and translated text, meeting details, subscription status and security records. This policy describes the corresponding processing across these products.
Audio from a chosen source is sent to our AI processing provider to produce translated output. Text transcripts and session usage may be saved to your MeetOS account history. Do not use the service for a confidential conversation unless you are authorized to share its audio with the processing providers described here.

What information we handle
Account and profile
Name, email, phone number, sign-in credentials in protected form, verification information, avatar and account preferences where supplied.
Meeting content
User-selected live audio; original speech text, translated text and optional synthesized translation audio; meeting title, platform and language.
Plans and usage
Subscription tier, available and consumed minutes, session times, payments and billing identifiers as relevant.
Technical information
Login/session tokens, cookies, browser or app settings, IP address, access and error logs and security-related event data as applicable.
How audio and translation work
Website users grant microphone or supported meeting-audio access; Windows users select supported PC audio input; Chrome users select a tab or trigger the current-tab capture feature. Capture begins after user action and can be stopped in the product or browser. The Chrome tab-picker may create a local video track as part of Chrome's capture mechanism, but the reviewed extension sends the audio track, not tab video, to the translation provider.
MeetOS uses OpenAI API services for live speech and translation processing. OpenAI handles submitted audio and associated content under its applicable service terms and data controls. We do not describe provider processing as “zero retention”; see OpenAI's API data controls for its published policies and exceptions.
MeetOS meeting history stores source and translated text where the feature is used. MeetOS meeting history is designed to store text rather than provide a downloadable raw-audio recording. Any additional recording feature, if introduced, will be separately disclosed.
Why we process information
We use information to authenticate you, deliver requested translation and speech features, display and save meeting text, measure available minutes, administer payments and subscriptions, provide support, prevent abuse, maintain product security and meet applicable legal obligations.
Where applicable data-protection law requires a legal basis, these activities may rely on performance of our service contract, legitimate interests in security and service operations, compliance with law, or consent where required for optional activities. The applicable basis depends on the activity and jurisdiction. You can stop audio sharing at any time.
Who receives information
We may disclose information when lawfully required, to respond to security incidents, or as part of a properly notified business transaction. The Chrome extension's selected-tab data is used for its disclosed translation purpose, not personalized advertising or sale to data brokers.
How long data is retained
Retention differs by data type. We retain information only for the period justified by the service, support, security and legal requirements, with exceptions for disputes, investigations or applicable retention obligations. Our specific schedules are:
OpenAI and other service providers maintain their own applicable processing and retention schedules. Account deletion does not necessarily remove records that must be preserved under law, and existing backups may expire on a separate documented schedule.
Your privacy choices and rights
Depending on the laws applicable to you, you may request access, correction, deletion, restriction, portability or objection to certain processing. Where processing is based on consent, you may withdraw it. You may also be able to complain to a relevant regulator.
Contact info@bookasion.com to make a request. We may verify your identity before acting and may need to retain data when law permits or requires it. You can also stop a live capture, sign out of your account and review saved meetings from the product.
Cookies and device storage
Our website uses session cookies and preference storage for sign-in, security and interface settings. The Chrome extension stores a revocable account token and your preferred language locally, with access restricted to trusted extension contexts in the reviewed release. The Windows app may maintain application session and display preferences locally. Third-party billing pages may set cookies under their own notices.
If optional analytics, advertising technology or other non-essential SDKs are introduced, our notices and choices will be updated as required.
How we protect information
We use access controls, authenticated sessions, encrypted network connections and other security controls appropriate to the service. Access to account and meeting information is restricted by product permissions. No online service can guarantee absolute security; please protect your password and report suspicious activity to info@bookasion.com.
International processing
Our service providers may process information in countries outside yours, including where required to provide AI translation, hosting and payments. Actual transfer locations and safeguards: [Confirm countries and transfer safeguards].
